Overview

This guide provides detailed step-by-step instructions to search for documents attached with the leads containing user-specific keywords.

Steps for Searching in Document Finder

Step 1: Open Document Finder

  1. Click on the Document Finder button in Leads view to open Document Finder menu.

Step 2: Add Search Terms

  1. In the Search Terms field, enter a keyword related to the business expertise of the company.

Note:  Users can add multiple keywords to refine their search.

For example, to search for leads containing documents relevant to construction and housing, enter keywords like 'housing', 'construction', 'HVAC' etc.

Step 3: Save and Submit Query

  1. Click the Save Query button.
  2. A prompt will appear asking to enter a name for the query.
  3. Type a name for the query, such as "HVAC housing leads", and click OK.  
  4. Click the Submit button to apply the search. The system will filter the leads, displaying only those leads whose documents contain the specified keywords.

Note: Saving a query is optional, users can submit a search directly without saving it first.

Tip: Choose a query name that clearly reflects the search criteria. For example, use "Construction Bids – March" for leads related to construction bids in March.

Step 4: Review Results

  1. Select a lead from the filtered results and click the Expand Row (+) button. 
  2. Navigate to the Document Result tab.
  3. Click on the document PDF. 
  4. Scroll down within the lead tab using the right scrollbar to locate the highlighted keyword.

  5. Use the dropdown menu to jump to other pages containing the searched keywords. In this case, 'Page 4' is displayed by default, and users can select other relevant pages from the list.

FAQs

Why are my keywords not appearing in attachment searches?
Try the following steps to improve search results:

  • Check keyword precision – Verify spelling, consider variations, and use related terms.
  • Review search procedure – Ensure the query was correctly submitted through the Document Finder menu. Try re-entering or reloading the query.
